Interchange Timeshare Queensland Pty Ltd (Interchange) complies with the National Privacy Principles as legislated by the Australian Government.

We at Interchange recognise the importance of protecting the privacy of our Members and as such it is our intention to provide you with an understanding about how we collect and use this information in the course of our business.

This privacy policy discloses what information we gather and how it is used and how it can be changed.

Collecting of information

We collect information by specifically requesting it from you. This generally occurs when you initially register as a Member. Registering can be done via the telephone, by completing and sending a registration form or via our website.

Interchange only collects the personal information that is necessary to provide you with the service we offer. An example of the information we require is your name, address, contact telephone numbers, and where you own your timeshare unit(s). Credit card details are also collected when a booking is confirmed for you.

From time to time, we will need to verify information with your Resort. When this is required, we seek your permission. When you sign one of our Deposit Assignment Authorities to deposit your timeshare week with us, this serves as permission for Interchange to check your address, contact numbers and other relevant details with your resort. This process is stated on the Deposit Form.

Use and disclosure

Our purpose in collecting information about you is to provide you with membership services such as exchanging your timeshare week or booking bonus or rental accommodation. Interchange does not routinely disclose your personal information except where it is necessary to provide you with a service that you have requested. It is essential for Interchange to disclose details of the reservation you have confirmed to the Resort you have selected which includes your name, address, telephone number, party size and any special requests you have made concerning your accommodation.

Interchange may also disclose some or all of your personal information to business partners but this process will be specifically described to you prior to admission.

Data Quality

IInterchange takes reasonable steps to ensure that personal information is accurate, complete and kept up-to-date. When you telephone us, your personal information is verified for accuracy and from time to time we send a letter asking you to advise us if your personal information has changed.

Data Security
Y our personal information is listed on our network database which can only be accessed by fully trained staff employed by Interchange. The network server is located in a fireproof vault and only our staff have the passwords to access our database.

Members' credit card records are kept securely in our vault and are destroyed (shredded) when no longer required. Any other documentation listing personal material is also shredded once the information has been entered into our database.

When a member wishes to cancel their membership, their personal information is de-activated

Openness, Access & Correction
Upon request from a Member, we can provide access to and/or advise what personal information we have on file, what purpose it is used for, how it was collected and disclosed.

If a Member wishes to correct or update any information relating to them, correction is carried out immediately.

Identifiers
IInterchange issues each Member with a unique number which they can quote when making bookings or general inquiries. A membership card is issued to each Member listing this unique number. Interchange does not use any other identifier.

Anonymity
Where practicable, Members and the General Public can contact Interchange anonymously for general inquiries.

Transborder data flows
Interchange has a branch in New Zealand therefore our staff in New Zealand has access to personal information via our database. Our New Zealand Office Staff abide by the National Privacy Principles in line with our Australian Office.

Interchange does not transfer personal information to individuals or organisations interstate or overseas apart from Timeshare Resorts needing booking information of incoming guests arranged by Interchange.

Sensitive Information

If the collection of sensitive information were necessary in order to assist us in arranging the most suitable accommodation for your needs, your consent would be initially sought. If sensitive information were to be disclosed, again, your permission would be required. Disclosure of sensitive information may be necessary in the case of informing a Resort of a Member’s needs for maximum holiday enjoyment.
